What to Store

There are legislative regulations that requires business to retain records for a statutory time period. We have included a list below for your guidance, however you should consult your solicitor or professional advisor for a complete list of requirements.

Typically a business or organisation should retain the following records and associated period of time:

Files for document archive storage

2 Years:

  • Time and leave records - for example, timesheets and leave cards

3 Years:

  • Purchase Orders

6 Years:

  • Suppliers invoices and credit notes
  • P forms and notices (e.g. P.45,)
  • Payroll and annual summaries
  • Debtors invoices and credit notes
  • Receipts and Bank statements
  • General cashier records
  • General ledger and journals
  • Research grants and contracts

Selected others:

  • Property related documents
  • Contracts for purchases 6 years after the contract expires
  • Title Deeds Indefinite while the property is owned
  • Lease agreements (property) 12 years after the lease ceases
  • Architects/builders agreements and contracts - Indefinite
  • Property related documents (e.g. planning permission) 12 years after ownership ceases
  • Return of contributions to superannuation schemes - Indefinite

This is just a small selection of documents and records that have a legislative retention requirement, please seek the guidance from your solicitor or professional advisor before allocating any documents for secure destruction.
