Q: What are and what can documents be stored in?

A: Documents are stored in our own heavy duty document boxes suitable for holding document wallets, lever arch and box files, or our client's own boxes.

Q: What kinds of documents can be stored?

A: As long as it is on paper, it can be stored. For example, solicitor's dead files, company accounts, architects and engineering drawings, even medical records. We are shortly introducing fireproof enclosures suitable for wills and deeds and other highly valuable documents.

Q: Can a client's documents be accessed on site? If so, what period of notice is required for access is needed?

A: If a client wants access to their files, this can be arranged by appointment either the same or next day.

Q: What identity check is carried out to ensure the identity of an employee or whoever is accessing stored documents?

A: We will only deal with nominated employees, Their identity is carefully checked and confidential security codes and/or passwords are exchanged before access is given.

Q: How are boxes labelled and their locations recorded?

A: Boxes are labelled and details recorded in our index system. Label numbers and details can be from the client's internal systems or you can adopt our KnightStor numbering system. Our computer system store all the details and we have a duplicate hard filing system as a backup.

Q: Do you need a list of the box contents?

A: No, we only need a box reference. If we are required to access box contents, then the contents need to be identifiable. If not, we only need the reference details on the outside of the box. We encourage our clients to keep details of each of their box contents.

Q: What is the largest size of document that can be stored?

A: Any size of document can be stored.

Q: Are there any weight limits for documents?

A: Each storage box contains a maximum weight of 20kg of documents. Larger boxes for storing rolled up drawings, for example, may weigh more than this. There is no weight limit of documents we can store, other than those governed by the storage boxes.

Q: What are the security arrangements of the document store and is there 24x7 security?

A: Our storage location is monitored 24/7 internally and linked externally to emergency services.

Q: Are the storage facilities secure against pest/insect contaminations/intruders/fire and smoke damage/water and damp penetration?

A: Our storage building has been designed and built in accordance with the very latest building regulations. There is full environmental control for optimum heating and insulation against cold and damp. Our fire/smoke detection systems are to latest specifications with extremely sensitive detectors and both external and internal sirens. Pest control is provided by a leading UK pest management company.

Q: Do you operate a collection/delivery service to client's offices and what are the distance limits?

A: We store documents for clients within a 50 mile radius of Stoke-on-Trent. There is no limit where we deliver documents to, if requested. This is on a same day (if notified before midday) or next day service, either by our own vehicles or by DX service (confidential courier).
